Draft, sent, viewed, accepted, declined, expired — what each quote status means and what to do next.

What do the quote statuses mean?

Every quote carries a status that tells you exactly where it stands: draft (private, still editable), sent (emailed to the client), viewed (the client opened the link), accepted (signed and agreed), declined (the client passed), and expired (the valid-until date has passed). The status appears as a colored tag on the quote and in your list.

Status by status

  • Draft — only you can see it. Edit freely, then send when ready.
  • Sent — the client has been emailed a PDF and a no-login link.
  • Viewed — the client opened the quote. A good moment for a friendly follow-up.
  • Accepted — the client signed. The quote is locked, and you can convert it to an invoice.
  • Declined — the client passed. The quote is closed; create a new one to re-quote.
  • Expired — the valid-until date passed before acceptance. Re-quote with a fresh date if the job is still live.

Once a quote is accepted, an Invoice this button appears on the quote so you can turn it into an invoice in one step.

No. Accepted and declined quotes are finalized to preserve what the client agreed to. To change anything, create a new quote.

If you set a valid-until date and the client hasn't accepted by then, the quote is treated as expired. Quotes without a valid-until date don't expire.

Open the quote to see its activity feed — it records sends, views, acceptance, signature, and decline with timestamps.
